Privacy policy
Effective date: [to set after legal review]
This policy explains what information the MTroncone CPA website collects, how we use it and the choices you have. It covers mtronconecpa.com and its Spanish pages. It does not replace the privacy notice and engagement letter that clients receive when they hire the firm.
Who we are
MTroncone CPA is the trade name of Monique Troncone, C.P.A., P.A. [legal name to confirm against the Florida Division of Corporations record], a Florida CPA firm (license AD65810) at 55 NE 5th Avenue, Suite 501, Boca Raton, FL 33432. Phone (561) 542-4119. Email info@troncone-cpa.com.
What this site collects
- Information you give us: name, email, phone, preferred language, preferred contact method, the topic of your request, company name and any message, through contact forms and campaign pages.
- Assistant conversations: what you type or say to Martha, the firm's virtual assistant, on this site or by phone, and the contact details you choose to leave.
- Appointments: the date, time and type of meeting you book and the details you enter in the scheduling tool [scheduling tool to confirm].
- Technical information: IP address, browser and device type, pages visited, the page that sent you here and campaign tags in the link, such as utm codes or ad click identifiers.
- Cookies and similar technologies: described in the next section.
Please do not send Social Security numbers, ITINs, bank or card account numbers, or tax documents through the website or the assistant. Clients share documents through the secure client portal.
Cookies and analytics
The site uses cookies it needs to work, for example to remember your language. With your consent where required, we also use analytics to understand how pages are used [analytics tool to confirm] and advertising tags from Google and Meta to measure whether our ads lead to inquiries. Some campaign pages, such as the page about IRS letters, use measurement only and are not used to build advertising audiences.
You can block or delete cookies in your browser and change your choices with the cookie settings link in the footer [cookie banner to confirm]. The site works without advertising cookies.
How the site assistant works
Martha is an automated assistant, not a person and not an accountant. It answers general questions about the firm's services, shares links to our guides and helps you book a meeting or reach the team. It does not give tax, legal, immigration or investment advice and has no access to client files.
Conversations are saved so a person from the team can follow up. They are processed by [AI service provider to confirm] under a contract that limits its use of the data to providing the service [confirm terms, including whether the provider may use the data to train its models]. If you type an identification or account number, the assistant asks you not to, and the number is masked before the conversation is stored.
No tax advice through the site
Pages, guides and assistant answers are general information. Advice for your situation comes only from the firm's professionals, once they know your facts and you have signed an engagement letter.
How we use information
- To answer your request and schedule meetings.
- To send information you asked for.
- To provide services if you become a client, under a separate engagement letter.
- To understand and improve the site and measure our advertising.
- To protect the site against misuse.
- To meet legal obligations.
We do not sell your personal information [confirm with counsel how advertising tags are described].
Who we share it with
Service providers that run the site for us, such as hosting, scheduling, email, the assistant, analytics and advertising platforms, each limited to what it needs to provide its service. Authorities, when the law requires it. Anyone else, only with your consent.
Tax return information (Internal Revenue Code section 7216)
If you become a client, the information you give us to prepare a tax return is protected by section 7216 of the Internal Revenue Code and its regulations. We do not use or disclose tax return information for any purpose other than preparing your return unless the law allows it or you give us written consent beforehand, in the form those regulations require. You can decline, and we still prepare your return. The website, the assistant and our advertising tools do not receive tax return information.
How long we keep it
Inquiries, assistant conversations and booking records: [period to confirm, for example 24 months after the last contact], then deleted. Analytics data: [period to confirm in the analytics settings]. If you become a client, your records follow the firm's record retention schedule and the periods required by law.
How we protect it
We use reasonable administrative, technical and physical safeguards, including encrypted connections (HTTPS), restricted access to inquiries and conversations, and multi-factor authentication on the team's accounts [confirm]. No method of transmission or storage is completely secure. If a breach affects your personal information, we will notify you as Florida law requires.
Your choices
You can ask us to access, correct or delete the information you sent through the site, or to stop contacting you, by writing to info@troncone-cpa.com or calling (561) 542-4119. We may keep information the law requires us to keep. Marketing emails always include a way to unsubscribe.
Children
This site is not directed to children under 13, and we do not knowingly collect their personal information through it. If you believe a child has sent us information, contact us and we will delete it. Tax matters for minors are handled with their parents or guardians as clients.
Visitors outside the United States
The site is operated from the United States, and information is processed and stored in the United States. [Counsel to confirm whether ads aimed at Spain create obligations under European Union data protection law.]
Changes to this policy
We will post any change on this page with a new effective date.
